guardREC® Compliance 2022.05

May, 2022

What´s new ⭐

  • Automatic transcription
In this version of guardREC® Compliance, we are officially releasing automatic transcription enabling you to convert audio recordings to text automatically. The user can manually request a automatic transcription on a single recording, multiple recordings or all recordings in a case. With automatic transcription, you can now search for content in the audio recordings, enabling the compliance team to move away from random checks to targeted audits.
  • Supported languages
    GuardREC
® Compliance supports automatic transcription of 120 languages such as English, Norwegian, Danish, Swedish, Finish, German, Spanish, French, Mandarin, etc.  The automatic transcription also handles dialects in all languages very well.
  • Flexible search for words and phrases in transcriptions
Instead of manually listening to a voice recording or reading through a transcript, the compliance officer can use the solution's flexible search possibilities in transcription and metadata.  Search for words and phrases in transcription that are of interest, such as "guaranteed return", "risk-free investment", "do not tell anyone", "this is between us", product names, tickers, etc., mentioned in a conversation. Search results are highlighted in yellow in the transcript and voice recording. This frees the compliance officer from much manual work.

  • Search in both text and audio
You can now search in both text-based and audio-based communication, such as for words, phrases, product names, tickers, and more. Search across the entire range of both voice and text-based recordings with a single search. The recordings that contain the specific terms the compliance officer is searching for are filtered out in the list view. This frees compliance from manual work who can instead focus on the content of the recordings.

  • Batch transcription of calls
The solution now supports batch transcriptions of recordings from a search result or a case.

  • Background jobs
All transcription jobs are now started as background jobs. Continue working in the application while the automatic transcription is processing in the background. All jobs and statuses are visible in the job overview list on the administration pages.

  • Synchronized replay of audio and transcription
When replaying a transcribed call, spoken sentences are highlighted in the transcription. The transcipritons are stored and linked to the corresponding voice recordings, enabling the compliance officer can listen to the voice recording and read the transcription simultaneously and synchronously in the guardREC® Compliance application. The voice segments are timestamped based on which sentence is read in the transcript. This makes it easy to retrieve the segment in the voice recording you are looking for and frees the compliance officer time

  • Replay calls from specific sentences in the transcriptions
Click on a specific sentence in the transcription to start replaying the call from that exact point in time.

  • Manual edit transcriptions
In cases where the compliance officer makes findings and needs a 100% accurate transcript for further documentation and reporting purposes, it may be necessary to edit the automatic transcription. This version has built-in support for manual editing of the automatic transcriptions.

  • Export transcriptions to Word
In need of further documentation, guardREC® Compliance supports easy export of transcriptions to a complete chronologically structured Word format (Docx). Transcriptions can be exported individually or in batches. The export includes, among other things:
    • Reference/link to the corresponding voice recording.
    • Time stamps so it is easy to see which sentence is being said when
    • Associated metadata as from number, to number, date, and time

  • Whitelist
The whitelist editor has been improved with tooltips and help texts to make it easier to understand for a user what to enter.

  • Forgot password
On the login screen, there is now an option to reset the password by using the “Problems logging in” link. An email with a link and confirmation code is sent to the user to create a new password.

guardREC® Compliance 2022.01

Jan, 2022

What´s new ⭐
  • Automatic transcription (pilot)
You can now try out automatic transcription of recorded calls. Just select a recorded call and choose Start transcription. The processing time is about half the time of the call duration. The text result will be stored on the associated call. Transcribed calls are searchable, enabling you to search for words or phrases in the transcribed call. Contact joachim.thougaard@guardrec.no to get access to the pilot.

  • Search results are highlighted in transcribed text
Search results are now highlighted in the transcribed text.

  • Review Queues (1st phase)
We know it is difficult to work risk-based. A very large amount of recordings makes it difficult to identify potential risks. One important challenge is that Compliance officers are typically limited to performing manual searches and checks. We are working on enabling guardREC® Compliance to assist you in identifying recordings with potential risks and populate these in "Review queues" for compliance audits. This will enable compliance to improve their risk-based approach by focusing on the important rather than a large amount of data.

In the 1st phase of the Review Queues feature, we have made it possible for you to save searches as dynamic views. You can create multiple views based on frequently used filter criteria, such as specific words or phrases in a transcribed call or chat, specific Smart Tags, Users, User Groups, etc. You can quickly switch between the saved views to check if there are new recordings matching your criteria. Spend less time on manually adding filters and performing searches and more time on focusing on the content.

  • Participants search filter
Speed up search and retrieval with the new Participants search field. When using the Participants search field, you are searching in both the From, To, User and Clients columns. You can also enter both phone numbers, email addresses, user names. That means you no longer need to manually add multiple filters such as the From/To, User, or Client filter before starting a search. The participants search field is pinned to the sidebar by default for quick access.

  • Played by non-compliance search filter
Do you want to audit the calls that have been replayed by a recorded employee? Just add the played by non-compliance filter.

  • New replay speeds
Speed up your audits. Choose between the following speeds when replaying a recorded call: 0.75x, 1.00x , 1.25x, 1.5x, 1.75, and 2.00x.

  • Ends-with search filter
We know that many compliance officers prefer to search the last digits instead of the first digits in a phone number. In this version, we have made it possible to search "ends with". For example,  searching for "3848" will display all calls ending with this number, i.e. +479483848, +460406223848... etc. No more need to worry about entering the right prefix when searching for phone numbers.

  • Be notified if there are no new recordings after certain days
Email notification and in-system alarm can be triggered if there are no new recordings received on a particular source, such as Bloomberg chat,  after a configurable amount of days.

  • guardREC® Compliance for Leaddesk
We have now added support for compliance recording of Leaddesk.

  • New presets for date and time
Quickly select between the following date and time presets: Today (default), Yesterday, Last 7 days, Last 30 days, Last 60 days, Last 365 days and Custom.

  • New button for adding advanced search filters
Adding advanced search filters, such as Smart Tags, User Groups Device types, etc., is now done by clicking on the filter button.

Improvements 🛠

  •  Some customers frequently experienced the "Session invalid error" message. This is now fixed.
  • Other speed and performance improvements

guardREC® Compliance 2021.05

May, 2021

What´s new ⭐

  • Improved external access: You can now provide external users access to selected calls for a limited time by right-clicking on a Case and select "Share" (Beta).
  • You can now see a complete list of all participants in a call by right-clicking and select "Call Properties". This is especially useful for Microsoft Teams meetings and Bloomberg chat rooms, where there can sometimes be dozens (or even hundreds) of participants.
  • Call Events: You can now see when participants joined or left a meeting, or if the call has been forwarded or transferred. This enables you to e.g. document if a client has left a call halfway through the meeting, or if the call has been transferred from a non-recorded colleague. Right-click on a call and select "Call Properties".
  • You can now see the complete audit trail related to a specific call by right-clicking and select "Call Properties". This makes it easier to keep track of all interactions with a call throughout its life cycle, such as who and when someone has replayed the call, exported, marked it as private, added to a case, or tagged the call etc.
  • You can now see the number of messages in a chat conversation without opening the chat.
  • You can now double-click to open a chat or email.
  • Copy to clipboard is now available on each column in the call view.

Improvements 🛠

  • It's now easier to manage access to recording users and calls based on user and user groups.
